Seiza is a company that provides technology solutions and services to facilitate the recruitment of candidates.

Our Privacy Policy describes the steps Seiza takes to ensure a trusting relationship with job seekers regarding the collection, use, and sharing of personal information when accessing or using the www.seiza.co or www.jobs.work4.io(collectively referred to as "the Sites"), or the use of our various applications, products and services (collectively referred to as "Seiza Services" or "our Services") that allow you to, among other things, view and apply for jobs, receive updates on the status of your application, or subscribe to Job Alerts.

1. Introduction

1.1 Entity responsible for your data


This section identifies Seiza as the data controller of your Personal Data.
For the purposes of this Privacy Policy, "Seiza" or "we" or "us" refers to Work4 SAS.

1.2 Important Definitions

Personal data ("Personal Data") refers to any information that identifies you as an individual. Where this Privacy Policy uses the term "information" or "your information", it may include Personal Data as well as non-personal Data.

Use of the Seiza Sites and Services is available only to individuals seeking employment or services and/or information related to their employment status or job search ("Job Seekers"). 

1.3 Changes to the Privacy Policy

Please refer to the "Last Updated" date at the top of this page to determine when this Privacy Policy was last modified.

Any changes to this Privacy Policy will be effective as of the "last updated" date listed at the top of this document. 

1.4 General Data Protection Regulation (GDPR) for European Union citizens

On May 25, 2018, the European Union (EU) implemented the General Data Protection Regulation (GDPR). The GDPR sets out a comprehensive framework to protect individuals' personal data by defining the rights and obligations of companies with respect to transparency, security and accountability in all personal data processing activities.

1.5 Seiza Statement on the California Consumer Privacy Act (CCPA) for California Residents

On January 1, 2020, the California State Legislature implemented the California Consumer Privacy Act (CCPA). The CCPA is a unique privacy law in the United States that sets new transparency standards for companies that collect personal data from California residents. Among other things, the CCPA provides California residents with new rights to access and request deletion of their personal data from companies that collect it. It also redefines how those companies are required to justify certain transfers of data belonging to California residents. In order to comply with the CCPA, Seiza has provided this Privacy Policy to concisely list the types of data Seiza collects and how it is used and disclosed.

2. Information collected

2.1 Collected Information

2.1.1 - Use of the Sites

As part of the normal management of its Sites, Seiza collects and analyzes certain information from your computer or mobile device and from actions performed on the service, including but not limited to browser type, operating system, IP address, MAC address, type of device used, device ID, internet service provider, date and time of access to the Sites, geolocation information, types of jobs and/or employers consulted including the location of these job offers, salary range or level of experience (when this information is present), activity on the Sites (time spent, number of recurring visits and other information related to the click).

2.1.2 - Use of the Services by the Job Seeker

We collect data about you when you subscribe to a Job Alert, submit an application through our Services, request information, post a note, review or resume, or submit any other data to any of our Services. This data may include, but is not limited to, username, password, first and last name, email address, phone number (including cell phone number), mailing address, employment, employment history, academic history, work experience details and other potentially identifying information, interests and any other data contained in a resume or application questionnaires, including but not limited to applications and answers to screening questions, as well as responses you give to any questionnaires sent to you. This information may be associated with your profile.

You may provide data about your specific location when you enter it yourself when using the Services to find more relevant Jobs in Job Alerts. Seiza will seek your consent at the time of providing such data, and processing will only take place after such consent is obtained.

When you use a Seiza service, Seiza may also create a technical identifier similar to an account number and assign it to your device. We may also collect the name associated with your device, device type, phone number, country and any other information you provide, such as username, email address or zip code. For example, if a mobile device is used to access Seiza, Seiza may enhance the recommendation engine to select relevant job postings that match the zip code of the login.

2.2 Information collected when you apply for ads or access Seiza from certain third party websites

You may also use our Services from third party websites including but not limited to Facebook, Tiktok, Snapchat or Google. If you interact with these services, please be aware that they set a cookie to measure, optimize conversion and user engagement within their respective ecosystems.

These third parties may also ask your permission to share certain other data with Seiza, including but not limited to your name, profile picture, public profile information, phone number and email address. Once you have given your consent, the requested information will be shared with Seiza. This information will be used to provide services to you, including pre-filling form fields related to an application.

PLEASE NOTE THAT YOUR RELATIONSHIP WITH FACEBOOK, GOOGLE, SNAPCHAT, TIKTOK OR ANY OTHER THIRD PARTY WEBSITE IS GOVERNED SOLELY BY YOUR AGREEMENT WITH THAT THIRD PARTY WEBSITE.

When you apply on certain third party websites, Seiza may also receive information regarding the status of your application and decisions made by the Employer, including whether your application results in an interview or whether an offer of employment was accepted or not. This information helps Seiza to better understand the effectiveness of its Sites and Services and therefore to improve them. Seiza's use of this information is detailed in Section 5 of this Privacy Policy.

2.3 Required Personal Information

At the time you submit information, we will indicate whether or not you are required to submit particular Personal Information to receive specific services or features. If we do not receive the required Personal Data from you, you may not be able to access a specific feature or service.

2.4 Legal basis under which Seiza collects your Personal Data

Seiza collects and processes your Personal Data under different legal grounds, depending on the nature of the Personal Data provided and the type of processing involved.

Contract fulfillment

Some Personal Data is processed by Seiza on the basis of what is necessary for the performance of our Service in order to take steps at your request in the course of our contractual relationship. Example: To enable the connection between a Job Seeker and an Employer through the transmission of an application between the two parties.

Legitimate Interest

Seiza carries out other types of processing of your Personal Data for the purposes of Seiza's legitimate interests. These legitimate interests include, for example, where it is necessary to process data to detect and prevent fraud, to ensure the maintenance and security of our Sites and Services, to defend Seiza's interests in litigation. 

Compliance with a legal obligation

Some types of processing are motivated by Seiza's need to comply with a legal obligation. For example: keeping business records for specified periods of time to comply with local legal requirements.

Consent

Finally, in certain specific situations, Seiza needs your consent to process your Personal Data. Seiza asks for your consent at the time of disclosure, and processing will only take place once consent has been obtained. For example, you will be asked for your consent in certain circumstances, such as when you activate a marketing message or subscribe to a Job Alert. You may withdraw your consent at any time via unsubscribe mechanisms included within our Sites and Services, or send an email to privacy @ seiza.co.

3. How long we keep your Personal Data

Seiza retains your Personal Data for as long as it is needed to provide our Services or until you request us to delete it. For example, after an application is submitted to an Employer, Seiza may also retain a copy of the application for a limited period of up to 24 months and then delete it. We are also required to retain certain information in order to comply with local law.

Seiza may also retain the information set forth in this Section 2 of the Privacy Policy on its equipment or the equipment of third parties with whom Seiza has a relationship. These storage services will be subject to appropriate safeguards as required by applicable law.

4. Minimum age of our users

We do not knowingly collect or maintain any Personal Data from individuals under the age of 16, and no part of the Seiza Sites and/or Services is directed to individuals under the age of 16. If you do not meet the age requirements, please send an email to privacy @ seiza.co and we will take appropriate steps to delete such information. If you are under the age of 18 or under the age of majority in your jurisdiction, you must use our Sites and Services under the supervision of a parent, legal guardian or responsible adult.

5. Purposes, Uses and Disclosures of Personal Information

We collect and process your Personal Data for the following purposes:

Providing you with and managing your Account;

  • Providing you with our Services to help Job Seekers find jobs and, where applicable, to match Job Seekers with Employers;

  • Sending you Job Alerts when you have requested them;

  • Sending you relevant search results and recommended jobs within our network;

  • Communicating to you information about our Sites and/or Services, including advertising content, 

  • Measuring and improving our Sites and Services;

  • Protecting and supporting our users;

  • Preventing fraud and spam;

  • Ensuring the security of our Sites and Services;

  • Protecting our interests and defend our legal rights if necessary.

5.1 Profiling

In order to optimize the performance of our Sites and Services, we automatically process Personal Data by evaluating specific aspects of users, in order to effectively match Job Seekers with Employers. In particular, we use automated processing to analyze or predict users' personal preferences or interests. Where applicable, such processing is carried out if it is necessary to perform the contract between us and our users, to enable us to provide our Services to Job Seekers and Employers, including for purposes of optimizing advertising spend with our business partners, analyzing applications and resumes on behalf of Employers, and in other cases based on user consent.

This processing is subject to the safeguards detailed in this Privacy Policy to protect the privacy of our users. You may contact privacy @ seiza.co to challenge any decision generated by said automated processing.

6. Recipients of the data

Seiza communicates the personal data of the Job Seekers to the Employers following the submission of a job application in order to allow the connection between the two parties. The Employers then become data controllers, and process the data according to their respective Privacy Policies.

Seiza may provide Job Seekers with information about the Employer that is not Personal Data.

Seiza may use third parties such as cloud service providers to perform operations necessary for the proper functioning of its services, to improve the Sites and its other products, services and features, to protect users and better understand their needs, to optimize services and user experience.

In order to provide such services, these service providers may have access to Personal Information. The services provided may also include transfers of Personal Data to other countries outside of the European Union in accordance with Section 7 of this Privacy Policy.

7. Data Transfers Outside the European Union

To the extent possible, Seiza does not transfer your Personal Data outside the European Union. However, we may need to make such transfers for example in the event that you apply for a job with a company based outside the European Union. In this case, Seiza has ensured that it has taken all measures required under the Regulation to ensure that the level of protection of individuals within the European Union is not compromised.

8. Security

Seiza seeks to implement reasonable security measures to prevent the loss, misuse or alteration of Personal Data under its control. However, no method of transmission over the Internet or method of electronic storage is completely secure. Please also note that emails, messages sent from your web browser or other similar means of communication are not encrypted. Therefore, despite our best efforts to protect your data, we cannot guarantee its security.

Cookies" are pieces of information stored by your browser on your computer's hard drive. Please see our Cookie Policy to learn more about our use of cookies.

We do not respond to the browser's "Do Not Track" (DNT) signal if the user has enabled it in their web browser settings, but we may respond in the future as industry standards evolve.

10. Links to Third Party Sites

The Sites and our Services may contain links to other third-party websites. You may leave our Sites when you click on such links. Your web browser may also disclose to the third-party website the URL of the page on the Site from which you came. This URL may include search terms and filters used on the Sites.

WE ARE NOT RESPONSIBLE FOR THE COLLECTION, USE, AND SHARING OF INFORMATION OR OTHER PRIVACY PRACTICES OF THIRD PARTIES, INCLUDING OUR AFFILIATES, OUTSIDE SERVICE PROVIDERS, EMPLOYERS, ANY EXTERNAL SOCIAL NETWORKING PLATFORM, ANY THIRD PARTY THAT PROVIDES ACCESS TO THE DEVICES OR OPERATING SYSTEMS ON WHICH THE SITES ARE AVAILABLE, AND ANY THIRD PARTY THAT OPERATES A WEBSITE TO WHICH A LINK ON THE SITES REFERS. YOU MAY HAVE RIGHTS DIRECTLY ENFORCEABLE AGAINST SUCH THIRD PARTIES. YOU ARE THEREFORE ADVISED TO REVIEW THEIR PRIVACY POLICIES FOR MORE INFORMATION.

11. Exercising your rights with respect to your Personal Data

As a user of the Sites and our Services, you may exercise your rights as described below, to the extent permitted by applicable law. We may attempt to verify your identity through the email address or telephone number associated with the use of our Sites and Services before acting on such a request. If you authorize someone to make the request on your behalf, we may deny the request if we are unable to confirm with you that the person is authorized to act on your behalf.

To the extent permitted by the Regulations, you have the following rights:

rights of access ;

  • right of rectification;

  • right to erasure (right to be forgotten);

  • the right to limit the processing;

  • right to the portability of your data;

  • right to object;

  • right not to be subject to automated decision-making, including profiling;

  • right to withdraw your consent;

  • right to define directives concerning the fate of your data after your death.
